Manage Your Birthday Party

Official rules and policies for birthday parties at Off The Wall Kids. All party hosts and guests are expected to follow these guidelines. By booking a party, you agree to these terms.

Booking & Payment

The following terms apply to all birthday party bookings:

  • A valid card on file is required to finalize a party booking. Without a card on file, the remaining balance must be paid in full upon arrival.
  • A deposit is due within 5 days of booking. Deposits may be paid by cash, debit, or e-transfer.
  • The remaining balance is due at the end of the party at the facility, unless paid in full in advance.
  • Approximately one week before the party, our team will contact you to confirm your food order and collect your mandatory guest list.

Package Sizes & Guest Counts

Party packages include the following guest allotments and room time:

  • 1 room — 12 kids and 12 free adults / non-moving babies (90 minutes in the party room)
  • 2 rooms — 24 kids and 24 free adults / non-moving babies (90 minutes in the party room)
  • Private full facility (2 hours) — available excluding summer months, Friday nights, and weekends

90 minutes in the private party room (on your booked schedule) · Unlimited play in the facility until we close. Facility play time continues until close. Party room access begins at the scheduled start time only — early entry is not guaranteed and depends on room preparation being complete.

Guest counts include every person who passes admission, whether playing or not. Additional guests beyond the package allotment are charged at general admission rates for their age group and added to the final party bill.

Non-moving baby: a child who remains in a car seat for the duration of the visit. A child who crawls or walks out of a car seat is charged at the 0–23 month admission rate.

Additional guests may be invited beyond the package size, but setup is prepared for the booked count only. Each party room is equipped with 18 chairs — additional seating cannot be provided.

Core Policies

Guest counts & additional admission

Each package includes a fixed number of kids and free adults / non-walking babies. Additional kids (ages 2–17), adults, non-walking babies, and children under 2 (0–23 months) beyond the package allotment pay general admission at the front gate.

All individuals entering past admission count toward the guest total, regardless of whether they play.

Outside cake & cupcakes

Store-bought cakes and cupcakes are the only outside food permitted. They must be accompanied by an original itemized receipt from an Ontario-inspected kitchen. Homemade items and home-based bakeries are not permitted unless full inspection documentation is provided (see Food policy). Debit receipts are not accepted.

No other outside treats are allowed — including cookies, cake pops, donuts, muffins, standalone ice cream (ice cream cakes are permitted), puddings, or tarts.

Cake and cupcakes must remain in the party room at all times, cannot be shared outside the room, and must be removed to a vehicle when the 90-minute room booking ends.

Goodie bags

Goodie bags may not contain candy or any food items. Non-food items such as small toys and activities are permitted, in line with our food safety and allergy policies.

Food vouchers

Party food vouchers have no cash value, apply only to the current party, and are deducted from the final bill at the end of the party.

Guest list requirement

A complete guest list with first and last names of all attending children and adults is required before the party date. The list is used for front-gate check-in. See the Guest List section for submission requirements and format.

Decorations & cleanup

All decorations, including balloons, must be removed at the end of the party. Confetti guns, bombs, shooters, and piñatas are prohibited.

A $25 clean-up fee applies if decorations are left behind or if prohibited confetti items require staff cleanup.

Add-on cancellations (platters, hosts & mascots)

Fresh fruit platters, vegetable platters, breakfast platters, party hosts, and mascots must be cancelled at least 7 days before the party. These items are ordered or scheduled specifically for each event. Cancellations with less than 7 days' notice remain billable in full.

Host responsibility to inform guests

Party hosts are responsible for communicating the following to all invited guests:

  • Socks-only policy for all ages, including adults who enter past the gate
  • No outside food or drink except permitted cake/cupcakes with valid receipt
  • Updated waivers required for every person entering past the gate, including babies

Cancellation Policy

Deposits are non-refundable but may be applied as account credit under the conditions below.

  • Full facility closure due to public health restrictions: deposits become refundable.
  • Cancellation with adequate notice: deposit transferred to account credit.
  • Cancellation or rescheduling with less than 14 days' notice: deposit is forfeited with no credit. This includes changes to date, time, or package size (e.g. 36 & 36 to 24 & 24 or 12 & 12).

Additional terms

  • Illness: Handled case-by-case. Deposits remain non-refundable but may be credited toward a rescheduled party date.
  • Package size changes: A 12 & 12 booking may be upgraded to 24 & 24 or 36 & 36 if space is available. A 24 & 24 or 36 & 36 booking cannot be downgraded to 12 & 12, as additional rooms will have been reserved. Downgrading with less than 14 days' notice forfeits the existing deposit; a new deposit is required for the smaller package.
  • How to cancel or request changes: Submit requests in writing to info@offthewallkids.ca. Written requests create a dated record, which is required to preserve deposit credit when cancelling before the 14-day window.

Guest List Requirements

A typed guest list with the first and last name of every attendee is required before the party. This speeds up front-gate check-in on party day.

Submission requirements

  • Submit the list by email to info@offthewallkids.ca as typed text (not a photo or screenshot).
  • List the birthday child, host family, and immediate family first. Mark the birthday child's name accordingly.
  • When collecting RSVPs, obtain each child's last name and the full name of any accompanying adult.
  • Notify us if guests are expected to arrive before the scheduled party start time.
  • Indicate whether the host will cover admission for additional guests beyond the package allotment, or whether those guests will pay individually.
  • A host or designated adult should be available at the front gate to greet arriving guests and assist with drop-offs.

Waiver Policy

An updated waiver is required for every person who crosses the entrance gate — all ages, whether playing, dropping off, picking up, or visiting briefly.

Waivers may be completed:

  • Online at www.offthewallkids.ca (recommended)
  • On tablets at the facility
  • On paper at the admission counter (valid for one day only)

One supervising adult may list all children in their household (ages 0–17) on a single waiver. Each additional adult must complete their own waiver.

Socks Policy

Socks are required for everyone past the admission counter — any age, playing or not. Grip socks ($3.54) are available at the admission counter.

Off The Wall Kids is a socks-only facility. All guests — including babies, children, and adults — must wear socks and no shoes past the front gate. Socks are available for purchase at admission. Grip socks are recommended.

Food Policy

Party food is ordered from our concession menu. Each party room includes pitchers of ice water, generic tablecloths, plates, napkins, cutlery, and a cake knife.

Ordering deadlines

  • Breakfast platters, hot dog platters, Doritos bowls, and fresh fruit or vegetable trays: Wednesday by 2:00 p.m.
  • Complete food order for Saturday–Monday parties: Friday by 2:00 p.m.
  • Tuesday–Friday parties: changes due by 2:00 p.m. the day before.
  • After these deadlines, contact the facility by phone — email may not be monitored during peak periods.

Notify us promptly of any guest food allergies requiring a special order.

Outside food & drink

  • Outside food and drink are prohibited facility-wide, except store-bought cake or cupcakes for booked party rooms.
  • An original itemized receipt from a Middlesex-London inspected kitchen must be presented at admission.
  • Home-based bakeries must provide Ontario food premises inspection documentation plus business name, address, email, and phone, or items will not be permitted entry.

Decoration Policy

  • Facility-provided tape must be used for hanging decorations in the party room.
  • Balloons are permitted.
  • Prohibited: piñatas, confetti bombs/guns/shooters, face painting, sparklers, and additional games or craft activities brought by the host.
  • All decorations must be removed at the end of the party. A $25 clean-up fee applies for items left behind.

Party Hosts

A party host is an optional add-on. Food is delivered to the room regardless of whether a host is booked. When booked, a host may:

  • Serve food and drinks
  • Lead the Happy Birthday song and engage with children
  • Cut and serve cake
  • Assist with presents
  • Tidy the party room

Host and mascot bookings must be cancelled at least 7 days in advance. Cancellations with less notice remain billable in full.

Party-Day Schedule

90-minute party rooms

  1. Arrival: Party room access begins at the scheduled time, with approximately 30 minutes of play.
  2. Food service: Food is delivered to the room approximately 30 minutes after the start time.
  3. Food, cake, and presents take place within the following 60 minutes.
  4. Return to play: After 60 minutes, guests return to the play area. Party room access ends so the room can be prepared for the next booking.
  5. Gifts not opened within the 90-minute window must be taken home at the end of the booking.

2-hour private facility booking

  1. Arrival: Approximately 30 minutes of play at the start.
  2. Food is served approximately 30 minutes after the start time.
  3. Food, cake, and presents follow within the remaining booked time.
